A Zapier AI chatbot is the assistant you build inside Zapier: you give it files and links, it answers questions, and its replies can feed your Zaps. If you already run your business on Zaps, that sounds like the obvious choice. The real question is where the conversation should live: in Zapier, or on your own site with an AI agent that hands each finished request to the Zaps you already run.
What is a Zapier AI chatbot?
A Zapier AI chatbot is a chat assistant built with Zapier Chatbots, Zapier's no-code builder, that answers from the knowledge you add and can pass what it collects to the 8,000+ apps Zapier connects. On October 29, 2026, the Zapier Chatbots page said "Build a free AI chatbot" and listed adding knowledge, customizing, collecting leads, sharing and analyzing as its features.
Zapier's help center, read the same day, says the assistant answers from text-based files, web pages and Zapier Tables, on the Advanced Chatbots plan also from Google Docs and Notion, and follows a directive you write. You can share it as a standalone page, add it to a Zapier Form, or embed it on a website as a pop-up or inline; embedding needs a paid Chatbots plan (Pro or Advanced, separate from the Professional plan for Zaps), and the Free Chatbots plan cannot embed.
That keeps the chat inside Zapier, as one more step in an automation you designed there. On your website the chat is the front desk: visitors expect answers about your whole business, and sometimes a person.
How an AI agent on your site is different
Ultimo Bots is an AI agent for your website and messaging channels that answers from your own content, acts through skills you describe to Mo in the AI Studio, and lets a teammate take over website chats. Zapier becomes one of the places it sends finished requests, not the place where the conversation lives.
- It reads your site, uploaded PDF and Word files, Q&A pairs, Google Drive, OneDrive and Notion into one knowledge base, and answers from your content rather than from guesses about your business.
- It installs as a Wix app from the Wix App Market, a WordPress plugin, a Webflow Marketplace app, or a three-line snippet on most other sites.
- The same agent answers on WhatsApp, Instagram, Messenger and Slack, with one set of skills and one balance of AI credits.
- Skills do the work after the answer: ready-made app actions for Wix, Calendly, Cal.com, Stripe, HubSpot and Mailchimp, calls to your own systems, and webhooks to Zapier, Make or n8n.
AI agentThe part people notice first is the exit. People hate being trapped by a bot, rightly. On your website and chat link, a "Talk to a human" button appears while a teammate is switched online in the live chat; the teammate clicks Join and takes over the same window with the whole history. When nobody is online the button stays hidden; the agent keeps answering and, when it cannot help, offers once to pass the request to your team.
Ultimo BotsCan a Zap send data back into the chat?
No. A Zap started by a webhook cannot put its results into the visitor's answer. Zapier's webhook help page says a Catch Hook answers with a default success response and that "it's not possible to customize this response", so the agent only learns that Zapier received the details. Use Zapier for everything that happens after the chat: a row in Google Sheets, a Slack message, a CRM record, a task.
When the visitor should hear the workflow's result in the same conversation, use Make or n8n. Make's Webhook response module is "used to send a response back to the service that triggered the webhook", and n8n's Respond to Webhook node does the same. The agent reads that response and uses it in its answer, as long as the workflow replies within 20 seconds.
Sent to the team.

A self-hosted n8n works the same way: give Mo the Production URL of its Webhook node, the public HTTPS address your n8n is reachable at.
Connect a Zap to your agent in two places
The whole connection is the Zap's webhook address: nothing to install in Zapier, no account to link, and Mo builds the skill that posts to it. Webhook triggers need a paid Zapier plan: on October 29, 2026, the Zapier pricing page marked "Connections via webhooks" as not included in Free.
- 1
Create the Zap
In Zapier, start a Zap with the trigger Webhooks by Zapier and the event Catch Hook, and copy the webhook URL it shows. Add the steps that should follow, such as a Google Sheets row and a Slack message.
- 2
Open the Zapier card
In the Ultimo Bots portal, open AI Studio, then the Apps tab of the "Your agent" panel, pick Zapier and click Connect Zapier. It drops a prepared request into Mo's message box: "Please connect my agent to Zapier through a webhook. I will give you the webhook URL. The agent should send this:"
- 3
Tell Mo what to send
Finish the request with the details the agent should collect, when it should send them and what the visitor hears afterwards, and add the webhook URL at the end (or paste it when Mo asks). The example below shows a full message.
- 4
Turn the Zap on
Publish the Zap before visitors use the skill. Zapier answers requests to a Zap that is off or deleted with a 404 error, after a delay of up to several hours in which the address still reports success, so keep the Zap on while the skill is live.
Build it with Mo: catering requests that land in a Zap
Fig & Ember is a fictional catering kitchen in Denver whose team already runs on Zaps: every catering request becomes a row in a Google Sheet and a Slack message to the catering manager. Today those requests arrive as half-filled contact forms. The kitchen needs five days' notice and at least 20 guests, and the form cannot tell anyone that. The owner opens the Zapier card in the AI Studio and finishes Mo's message like this:
Please connect my agent to Zapier through a webhook. I will give you the webhook URL. The agent should send this: when a visitor asks about catering, collect name, email, event date, number of guests, dietary needs and delivery ZIP code. We need at least five days' notice and 20 guests. If the date is sooner or the group smaller, say so and point to the pickup trays on our menu page. Read the details back and send them only after the visitor says yes, then say our catering manager replies by the next business day. Webhook: <paste the Catch Hook URL>Mo turns that into one skill with two building blocks, a small calculation that checks the event date against today's date in the agent's time zone and the guest count against 20, and an HTTP call that posts the details as JSON to the Catch Hook. Mo marks the HTTP call as one the visitor confirms first, so the agent sums up the request and waits for the visitor's yes before it sends. Ask Mo to also record each request as a lead, and it shows up in Leads with the full conversation as well. Mo tries the calculation for real and the webhook call as a dry run, then reports what the agent can now do.

"name": "Priya Shah",
"email": "priya.shah@example.com",
"event_date": "2026-11-13",
"guest_count": 40,
"dietary_needs": "12 vegetarian",
"delivery_zip": "80205"
}Here is how a request runs. On Monday, November 2, Priya asks on the website whether Fig & Ember can cater a team lunch for 40 on Thursday. The agent replies that it is Fig & Ember's AI assistant, says catering needs five days' notice, so the earliest date is Saturday, November 7, and mentions the pickup trays. Priya moves the lunch to Friday, November 13, and gives her email, 12 vegetarian guests and ZIP code 80205.
The agent reads the request back in one short summary and asks whether it should send it. Priya says yes; the agent posts the details, gets Zapier's receipt and tells her the catering manager will reply by the next business day. Moments later, the row is in the sheet and the Slack message in the channel, without anyone copying a chat into a form.
Two test details matter. Mo's own test chat makes real webhook calls, so when a test request gets as far as the send, expect a test row in your sheet; it writes no lead. Your own chats in the Test tab are real in every way, lead included, and use AI credits like visitor answers. Building with Mo uses AI credits from the same balance: a quick question uses a few, building a skill more. Each plan allows a number of skills you build (Smart 3, Boost 10, Ultimo 30); more on the AI Studio page.
How much does a Zapier chatbot cost per month?
Zapier sells its chat builder as an add-on priced by how many assistants you build, not by usage. On October 29, 2026, its pricing page listed 2 on Free, about 5 for roughly $13.33 a month billed annually and about 20 for roughly $66.67 a month billed annually, with custom pricing beyond that. Zaps are billed separately in tasks: Professional started at $19.99 a month billed annually ($29.99 billed monthly) for 750 tasks, and webhook triggers need a paid plan.
Ultimo Bots is priced per agent in AI credits, and teammates are free. As of October 29, 2026, Smart is $29 a month ($19 billed yearly) with 500 AI credits, Boost is $59 a month ($39 billed yearly) with 2,000 and Ultimo is $249 a month ($199 billed yearly) with 10,000. A standard answer uses 1 AI credit, so Smart covers up to 500 standard answers a month across all channels (pricing). The answer that sends the webhook uses AI credits like any other answer; the Zap itself runs on your Zapier tasks. Our guide to AI agent cost does the math for a whole month.
Who should pick Ultimo Bots
Pick Ultimo Bots when the chat is where customers meet your business and your Zaps should receive finished, checked requests:
- You want one agent that answers from your whole site and files on your website, WhatsApp, Instagram, Messenger and Slack, and still feeds the Zaps you built.
- You want visitors to reach a person: while a teammate is online, a website visitor can ask for one, and the teammate takes over the same chat with the whole history.
- You want to describe a skill in plain words and let Mo build it: webhooks to Zapier, Make or n8n, calls to your own systems over public APIs, remote MCP servers and small calculations such as the notice check above.
- You want a computed result in the chat, such as a delivery fee: a Make scenario or n8n workflow returns it, or Mo adds a small calculation inside the skill.
- You want free teammates and one balance of AI credits per agent that pays for both its answers and Mo.
Start with the Zap you already run most often for website requests. Copy its Catch Hook URL, open the Zapier card in the AI Studio and tell Mo which details that Zap needs; if you also ask Mo to record each request as a lead, you can review the first ones in leads and analytics the same day.
Questions and answers
What is a Zapier AI chatbot?
A Zapier AI chatbot is a chat assistant built with Zapier Chatbots, Zapier's no-code builder. It answers from files, web pages or Zapier Tables you add (Google Docs and Notion on the Advanced Chatbots plan), follows a directive you write, and can pass what it collects on to apps through Zapier. You share it as a page or in a Zapier Form, or embed it on a website with a paid Chatbots plan (Zapier help center, October 29, 2026).
Can I connect Zapier to my website AI agent?
Yes, through a webhook. Create a Zap with the Webhooks by Zapier trigger Catch Hook, copy its URL, and in Ultimo Bots tell Mo in the AI Studio which details to collect and send. The agent posts them as JSON to the Zap, which can add a sheet row, a CRM record or a Slack message. The webhook URL is the whole connection, with nothing to install in Zapier.
Can a Zap send data back into the chat?
No. A Catch Hook answers with a fixed success response that cannot be customized, so the agent only learns that Zapier received the details. If the visitor should hear a workflow's result in the same conversation, use a Make scenario with a Webhook response module or an n8n workflow with a Respond to Webhook node, and make sure it replies within 20 seconds.
Do I need a paid Zapier plan for webhooks?
Yes. On October 29, 2026, Zapier's pricing page and its webhook help page listed webhooks as not included in the Free plan and included from Professional upward. Professional started at $19.99 a month billed annually for 750 tasks. Check the pricing page before you plan around it, since Zapier changes plans from time to time.
How much does Zapier's chatbot cost?
On October 29, 2026, Zapier listed its chat builder as an add-on priced by how many you build: 2 on Free, about 5 for roughly $13.33 a month and about 20 for roughly $66.67 a month, both billed annually, and custom pricing beyond 20. Embedding on a website needs a paid plan of that add-on. Zaps are billed separately in tasks.
Can I use Make or n8n instead of Zapier?
Yes. Ultimo Bots sends the same JSON to a Make or n8n webhook, and both can also answer back: the agent uses the returned data in its reply, as long as the workflow responds within 20 seconds. A self-hosted n8n works the same way through its public HTTPS webhook address.
