Travel Chatbot for Agencies and Tours

Travelers ask how hard the walking is, what the price includes and what it costs in their own currency before they book. Here is what an AI agent answers on a travel agency or tour operator website, how it collects trip details for your team, and the currency skill Mo builds for you.

A travel chatbot answers the questions travelers ask before they book a trip with you: how hard the walking is, what the price includes, whether a private date is possible. On an independent travel agency or tour operator website, it answers from your own packages and itineraries, collects the trip details your team needs and hands custom requests to a person.

What does a travel chatbot do on an agency website?

A travel chatbot is an AI assistant on a travel agency or tour operator website that answers trip questions from the agency's own packages, itineraries and policies, collects the traveler's trip details and passes custom requests to the team. Chatbots for travel come in two kinds: trip planners for consumers, and assistants that work for one agency. This guide is about the second kind.

Most independent agencies still meet travelers through a contact form. A visitor wonders whether a 12-year-old can manage the walking days, and either writes an email you answer hours later or leaves. An AI agent answers while the visitor is still on the page, and keeps the inquiry when the trip needs a person.

Ultimo Bots is the AI agent platform where you describe in plain words what your agent should do, and Mo, the builder in the AI Studio, builds it: skills that connect public APIs and MCP servers, so the agent works in your own systems as well as answering from your content. One agent answers on your website, WhatsApp, Messenger and Instagram from one knowledge base. Running a hotel or inn instead? Our guide for hotels covers that case.

The examples below use Costa Verde Walks, a fictional tour operator in Porto that sells guided walking trips in northern Portugal and prices every package in euros. Its owner, Inês, answers travelers herself, with one colleague in busy months.

Can a travel chatbot answer destination and itinerary questions?

Yes, when you give it the same material you would send a traveler: package pages, day-by-day itineraries, inclusions, and your booking and cancellation terms. The agent answers from your content, not from guesses about your business, and says so when something is not in it.

Add your website as the first source, then upload itinerary PDFs and your terms as DOC or DOCX; Google Drive, OneDrive, Notion and Q&A pairs work too (knowledge base). The agent reads the text on your pages and the alt text of your images, so write each tour's grade, walking hours and inclusions as text.

In a fictional sample chat, a traveler asks "Is the Douro Valley walk OK for a 12-year-old?", and the agent answers: "I'm Costa Verde Walks' AI assistant. The Douro Valley walk is graded moderate: four to five hours of walking a day, with one longer climb on day 3. Walkers from 12 can join with an adult. Would you like the day-by-day plan?" After "Yes, and is luggage transfer included?" comes: "It is. Your bags travel by van between the four guesthouses, and the full day-by-day plan is on the tour page under Itinerary."

Each answer comes from the tour page and the itinerary PDF and costs 1 AI credit on Ultimo Core, the standard level. The website chat also shows "You are chatting with an AI assistant" above the first message, on every plan.

Travelers write in their own language, and the agent replies in 80+ languages, detecting the language of every message, while your itineraries stay in one. On Boost and Ultimo you can switch on Voice input in Deploy > Design: a traveler on a phone taps the microphone, speaks, and the words land as text in the input field, ready to send. The agent answers in writing.

How does it capture a trip inquiry and forward it?

Every new agent comes with the built-in Lead Generation skill, which collects contact details in the conversation and forwards the request to you with the whole chat. By default it asks for name and email and sums up in one sentence what the traveler wants.

For trips, your team also needs the travel dates, the group size and the budget. In the AI Studio, ask Mo: "Add travel dates, group size and budget to the Lead Generation skill." From then on the agent asks for them along with the contact details.

It asks only when it helps. When the agent cannot answer reliably, or a traveler wants something only your team can give, such as a quote for a private departure, it offers once to forward the request and asks for contact details only after the traveler says yes.

In a second fictional chat, a traveler asks "Could you run the Douro walk privately for four of us in May?", and the agent answers: "I'm Costa Verde Walks' AI assistant. Private departures are planned by the team, and the Douro walk runs from May. I can forward your request so they can put together a quote. Shall I?"

After "Yes, please." it asks: "Great. What name and email should the team use, and which dates and budget do you have in mind?" The traveler writes "Dana Ruiz, dana.ruiz@example.com, May 12 to 18, around €6,000 for the four of us.", and the agent closes: "Thanks, Dana. You'd like a private Douro Valley walk for the four of you from May 12 to 18, with a budget of about €6,000. The team has your request."

Inês finds the lead under Activity > Leads with the whole conversation, and the new-lead email reaches her at once; both alerts are on by default. The leads page shows how leads and conversations sit together, and our lead generation guide explains the mechanism in depth.

What happens when a traveler needs a custom itinerary?

A person takes over, in the same chat, whenever someone on your team is online. People hate chatbots that trap them, rightly, so the route to a human stays one click away.

When Inês switches herself online in the portal's live chat, a "Talk to a human" button appears in the chat window. A couple planning a honeymoon across three regions clicks it, Inês clicks Join, and they see "Inês has joined the chat." The AI stops replying, and Inês works in the same window with the full history, from the first question to the dates. When she leaves, the agent takes over again.

When nobody is online, the button stays hidden, so no traveler waits for a person who is not there. The agent keeps answering and takes the custom trip through the lead skill, complete with dates, group size and budget. Your own live chat messages use no AI credits.

Prices in dollars and pounds, built by Mo

With Ultimo Bots you describe a skill to Mo in plain words, and Mo builds it on any public API that works with an API key, so the agent does real work beyond your FAQ. For Costa Verde Walks, the question that kept coming back was not about the walking. It was "What is that in US dollars?"

Its packages are priced in euros, and many travelers think in dollars or pounds. ExchangeRate-APIExchangeRate-API (pair conversion docs) is a public exchange-rate service with a free API key: per its documentation on November 7, 2026, one request with two currencies and an amount returns the converted amount and the rate. The free plan covers 1,500 requests a month, with indicative rates updated once a day.

Fictional package and rates.

In the AI Studio, Inês writes: "When a traveler asks what one of our packages costs in another currency, convert the euro price with ExchangeRate-API. Say it is an approximate rate for orientation and that we confirm the final price in euros."

Mo asks for the API key in a secure field, where it is stored encrypted, then tests the conversion with a sample price.

In a fictional chat, a traveler asks "The Douro walk is €1,890. What is that in US dollars?", and the agent answers: "I'm Costa Verde Walks' AI assistant. At today's rate of 1.16, €1,890 is about $2,190 per person. That is an approximate rate for orientation: Costa Verde Walks charges in euros and confirms the final price when you book." After "And in pounds?" comes: "About £1,660 per person at today's rate of 0.88, again for orientation. The price in euros is the one you pay."

In a real chat the numbers come from the API at that moment. The lookup reads public data, the same for every traveler, so it needs no login. An answer with the skill costs 1 AI credit on Ultimo Core like any other, and the skill is one of your plan's skills (Smart 3, Boost 10, Ultimo 30). A quick question to Mo uses a few credits, building a skill more.

Mo connects your tour software the same way if it publishes departures through a public API with an API key: tell Mo where the API docs live and what the agent should show, such as the next open departures of a tour. More on the AI Studio page.

Which agencies Ultimo Bots fits

Pick Ultimo Bots when you answer travelers yourself, or with a small team, and want the agent to do more than repeat your FAQ.

  • Agencies whose trips live in their own words. The agent answers from your packages, itineraries and terms, on your website, WhatsApp, Messenger and Instagram from one knowledge base.
  • Tour operators who price in one currency and sell to many. Mo builds skills on public APIs, like Costa Verde Walks' currency conversion, and connects your own tour software the same way.
  • Teams that grow in high season. Teammates are free, and anyone who is online can join a website chat with the full history.
  • Owners who want the bill in advance. Smart is $29 a month ($19 billed yearly) for 500 AI credits, Boost $59 ($39) for 2,000 with voice input, Ultimo $249 ($199) for 10,000.

Every paid plan starts with a 7-day free trial. Cancel anytime, no contract.

Try it on your best-selling tour

Pick the tour you sell most and check that its page says, as text, the grade, the walking hours, what the price includes and from what age. The agent can only answer what it can read.

Then start the trial, add that tour page and its itinerary PDF as sources, and ask in the Test tab of the AI Studio what travelers ask about it (test chats use AI credits too). If every answer is one you would send, put the chat live on your site. When the first price question in dollars comes in, tell Mo about the exchange-rate API.

Questions and answers

Does a travel chatbot replace the travel advisor?

No. It answers what your packages, itineraries and terms already cover and collects the details of every custom request. When a traveler wants a tailor-made trip, the agent forwards the request with the whole conversation, or a teammate who is online joins the chat. Your advisors still build the proposals and make every booking decision.

Can the agent answer questions about visas and travel insurance?

It answers from what you give it. Upload your visa notes and insurance summaries, each with its source and date, and the agent answers from them. For a question your material does not cover, it offers to forward it to your team. Link the official government pages in your notes so travelers can check the current rules themselves.

How does a travel chatbot handle group or corporate trip requests?

With Ultimo Bots, the built-in Lead Generation skill collects name and email by default; ask Mo in the AI Studio to add travel dates, group size and budget. The agent sums up the request in one sentence and forwards it to your Leads inbox with the full conversation, and you get the new-lead alert by email. Your team builds the proposal from there.

What languages does a travel chatbot support?

Ultimo Bots replies in the language the traveler writes in, detected on every message, across 80+ languages, while your itineraries stay in one language. A traveler from Lyon gets French and one from Munich German, from the same tour pages. When a teammate joins the chat, live translation shows the traveler's messages in your language and sends your reply in theirs, on every paid plan.

How much does a travel chatbot cost?

As of November 7, 2026, Ultimo Bots Smart costs $29 a month or $19 billed yearly with 500 AI credits, Boost $59 or $39 with 2,000 AI credits and voice input, and Ultimo $249 or $199 with 10,000. A standard answer uses 1 AI credit, teammates are free, and every paid plan starts with a 7-day free trial.

Can a travel chatbot show prices in other currencies?

Yes, with a skill for it. In Ultimo Bots you tell Mo in the AI Studio to convert your package prices with a public exchange-rate API that works with an API key, such as ExchangeRate-API. Mo reads the docs, asks for the key in a secure field and tests the skill. The agent then gives the approximate converted price and says that your agency confirms the final price.
