A retail chatbot answers the questions shoppers ask before they get in the car: do you have it, will it fit, can I return it, do you deliver to me. On the website of an independent hardware store, bookshop or kitchen shop, it answers from your own products and store pages, and hands anything special to the person behind the counter.
What does a retail chatbot do for an independent store?
A retail chatbot is an AI agent on your store's website that answers product questions from your own catalog, tells shoppers what is available, captures special orders and requests, and hands complex cases to a person. The pages that rank for this term are written for chains with order management systems and point-of-sale databases. This guide is for the store with one location, a website and an owner who answers the phone between customers.
Most of those calls repeat: is the 18-volt drill in stock, are you open on the holiday Monday, do you cut keys. Each one pulls you away from the register. An AI agent answers them on the website while the shopper is still deciding where to go.
Five questions every independent store gets, and how each setup answers them on your website.
Retail customer service is mostly these five, asked again and again. An agent that answers them frees the phone for the calls that need you.
Ultimo Bots is the AI agent platform where you tell Mo, the builder in the AI Studio, in plain words what your agent should do, and Mo builds it as a skill: on public APIs and MCP servers, so the agent does real work for your store as well as answering from your content. The same agent answers on your website, WhatsApp, Messenger and Instagram. If you sell mainly online, with carts and order tracking, our ecommerce guide fits you better.
The examples below use Brickbolt Hardware, a fictional independent hardware store in Somerville, Massachusetts. Its owner, Marisol, runs the floor with two part-time staff and delivers bulky orders in her own van.
Can it answer product and availability questions?
Yes, once it has your products. You can give them to the agent in four ways, and two of them stay current on their own. The agent then searches by name, price, attribute and availability, and knows the exact number of matches, so it can say "we carry six of those" rather than guess.
- A product file. Upload a CSV, JSON or TSV export from your point-of-sale or inventory software. Every column becomes searchable; a title column, a price column and an availability column (in stock or not) give the best answers.
- Your product pages. The agent can crawl the product pages on your own site and build its catalog from them.
- Wix Stores. If your shop runs on Wix, a connected store's catalog syncs into the agent and re-syncs daily on every paid plan. See the Wix app.
- WooCommerce. With WooCommerce and the Ultimo Bots WordPress plugin 1.3.0 or later, your published products, prices and stock stay current in the agent a few minutes after you change them.
A file is a snapshot of the day you exported it. When your counts change, upload the new file and delete the old catalog in the knowledge base, since the agent searches every catalog you keep.
In a fictional sample chat, a shopper asks "Do you have a cordless drill under $100?", and the agent answers: "I'm Brickbolt Hardware's AI assistant. We have four cordless drills under $100 in stock. Here they are." Product cards follow in the website chat, each with its price. After "Which one comes with two batteries?" it names the one whose listing says so.
Each answer uses 1 AI credit on Ultimo Core, the standard level, and comes from your catalog and pages, not from guesses about your store. When an item is not in the catalog, the agent says so and offers the next step.
Do you deliver to my ZIP code? A skill Mo builds
With Ultimo Bots you describe a skill to Mo in plain words, and Mo builds it on any public API that works with an API key. For Brickbolt, the question that kept the phone ringing was not about drills. It was "Do you deliver to us?", followed by "how much?"
Marisol's rules are simple and hers alone: up to 3 miles from the store delivery costs $8, up to 6 miles $15, and it is free on orders over $150 inside 6 miles. Farther away, she offers curbside pickup. What she lacked was a quick way to turn a ZIP code into a distance.
ZipCodeAPI (API docs) answers exactly that. Per its documentation and FAQ on November 8, 2026, one request with two US ZIP codes and a unit returns the straight-line distance between the two ZIP codes. It needs a free API key; the free plan allows 10 requests an hour, and the Small plan, $199 a year, allows 200 an hour (plans).
In the AI Studio, Marisol writes to Mo: "When a shopper asks whether we deliver to a ZIP code, get the distance from our store, ZIP 02143, with ZipCodeAPI. Up to 3 miles delivery is $8, up to 6 miles $15, free on orders over $150. Farther away, offer curbside pickup."
Mo reads the API docs, asks for the key in a secure field, where it is stored encrypted, and builds, for example, two parts: the distance lookup and a small calculation that applies Marisol's fee rules, so the fee always follows her numbers. Then Mo tests the lookup with a sample ZIP code and reports what the agent can now do.
In a fictional chat, a shopper asks "Do you deliver to 02139?", and the agent answers: "I'm Brickbolt Hardware's AI assistant. Yes, 02139 is about a mile from our store, so delivery is $8, and free on orders over $150." Another shopper asks "And 01730?" and hears: "I'm Brickbolt Hardware's AI assistant. 01730 is about 12 miles away, outside our delivery area. You can order ahead and pick up curbside at the store."
The lookup sends only two ZIP codes: your store's and the one the shopper typed. It reads public data, the same for everyone, so no login and no personal details are involved. An answer with the skill costs 1 AI credit on Ultimo Core like any other, and the skill is one of your plan's skills (Smart 3, Boost 10, Ultimo 30). A quick question to Mo uses a few credits, building a skill more.
Your own systems connect the same way. If your inventory or point-of-sale software publishes stock through a public API with an API key, tell Mo where its docs live and what the agent should show. More on the AI Studio page.
What happens when a shopper needs a person?
A person can take over in the same chat while someone on your team is online, and the agent takes the request when nobody is. People hate bots that trap them, rightly, so the route to your staff stays short.
Special orders are the classic case. In a fictional chat, a shopper asks "Can you order a replacement cartridge for a 20-year-old shower valve?", and the agent answers: "I'm Brickbolt Hardware's AI assistant. That cartridge is not in our catalog, but the team special-orders parts from our suppliers. I can forward your request so they can check. Shall I?"
After "Yes, please." it asks for a name and email, and the shopper writes "Sam Okafor, sam.okafor@example.com". The agent closes: "Thanks, Sam. You'd like a replacement cartridge for a 20-year-old shower valve ordered in. The team has your request." Marisol finds it under Leads with the whole conversation, and the new-lead email reaches her at once (leads and analytics).
The agent offers this once per conversation, only when it cannot answer reliably or the shopper wants something only your team can give, and asks for contact details after the shopper says yes. Ask Mo to add fields such as phone number or part number to the Lead Generation skill if your team needs them.
When Marisol switches herself online in the live chat, a "Talk to a human" button appears. A contractor pricing out a deck clicks it, Marisol clicks Join, and the contractor sees "Marisol has joined the chat." The AI stops replying, she has the full history in the same window, and when she leaves the agent takes over again. When nobody is online, the button stays hidden and the agent takes the request through the lead skill. Your own live chat messages use no AI credits.
How does it handle returns, hours and store policies?
It answers from the pages where you already state them: your return policy, your hours, your services. Add your website as the first source, plus Q&A pairs for the questions your site does not cover, such as "Do you cut keys?" or "Can I bring paint back?".
The agent reads the text on your pages and images by their alt text, so post holiday hours and price lists as text, not as a picture of a sign. Where you want a firm line, add a behavior in the AI Studio: in the "Your agent" panel open Behaviors, click Add Behaviors and write, for example, "For returns after 30 days, do not promise an exception. Say the store team decides and offer to forward the request." The agent receives it word for word as a rule that outranks its defaults, on every channel.
The website chat shows "You are chatting with an AI assistant" above the first message, on every plan. The sample chats here also use one behavior, saved word for word: "If none of your replies so far has said you are an AI assistant, say so briefly in this reply. The welcome message at the start does not count, since the visitor may not have seen it. If asked whether you are human, say plainly you are an AI."
Can shoppers speak their question instead of typing?
Yes, on Boost and Ultimo. Switch on Voice input in Deploy > Design, and a shopper on a phone taps the microphone inside the input field, speaks, and the words land as text, ready to send. The agent answers in writing.
A shopper on a ladder asks "Do you have three-inch stainless deck screws?" without typing a word. The agent replies in 80+ languages, in the language of each message, from your catalog in one language. Voice input itself uses no AI credits.
How much does a retail chatbot cost?
As of November 8, 2026, Ultimo Bots Smart costs $29 a month or $19 billed yearly with 500 AI credits, Boost $59 or $39 with 2,000 and voice input, and Ultimo $249 or $199 with 10,000. A standard answer uses 1 AI credit, every plan includes all channels and live chat, and teammates are free, so your part-time staff cost nothing extra. See pricing.
How that compares with per-seat and per-resolution tools is covered in what an AI agent costs and in our price check of low-cost options.
Begin with the five questions your phone gets most
- 1
Write down this week's calls
Note the five questions you answered most often by phone or at the counter. They are your test set.
- 2
Give the agent your products and pages
Start the trial, add your website, then upload a product export or connect your Wix or WooCommerce store.
- 3
Ask the five questions in the Test tab
Ask them in the AI Studio's Test tab (test chats use AI credits too). Fix any answer you would not give yourself by adding a Q&A pair or a behavior, then put the chat live on your site.
When the first "Do you deliver to us?" comes in, tell Mo about your delivery rules.
Questions and answers
Does a retail chatbot need access to my POS system?
No. Ultimo Bots answers from a product file you upload (CSV, JSON or TSV), from your crawled product pages, or from a connected Wix Stores or WooCommerce catalog, which stays current on its own. If your point-of-sale or inventory software offers a public API with an API key, you can ask Mo in the AI Studio to connect it so the agent reads stock from there.
Can it answer questions about products that are only in my physical store?
Yes. Export your in-store inventory with names, prices and availability as a CSV, JSON or TSV file and upload it, and the agent searches it like any catalog. A file is a snapshot of its export day, so upload a fresh one when your stock changes and delete the old catalog.
How is a retail chatbot different from an ecommerce chatbot?
An ecommerce chatbot centers on online carts, checkout and order tracking. A retail chatbot answers what shoppers ask about a store they may visit in person: what is on the shelf, store hours, returns, special orders and delivery to their area. It works for stores with or without an online checkout.
Can the agent recommend products?
Yes. With your catalog loaded, the agent searches by attribute, price and availability, knows the exact number of matches and shows the best fits as product cards in the website chat, so shoppers narrow their choice in conversation. Recommendations come only from products in your catalog.
Can it tell shoppers whether I deliver to their area?
Yes, with a skill. In Ultimo Bots you tell Mo your store's ZIP code, your delivery radius and your fees, and to get distances from a public ZIP code distance API with an API key, such as ZipCodeAPI. Mo asks for the key in a secure field and tests the skill. The lookup uses only the ZIP code the shopper typed.
