Chatbots for Colleges: A Guide for Admissions Offices

What an AI agent on a college website should answer, what stays with your admissions team, and why a small college does not need a student information system project to start.

On this page

Chatbots for colleges come in two kinds, and the difference decides your budget. Higher-ed platforms serve applicants and enrolled students and usually tie into your CRM or student information system. A website AI agent answers prospective students from your public pages, takes their contact details and hands them to admissions. If you run admissions or marketing at a community college, a trade school or a small private college, the second kind covers the questions that fill your inbox every cycle, without an IT project.

What is an AI chatbot in education?

An AI chatbot in education is software that answers students or applicants in conversation, around the clock, from a set of sources the school controls. Most products belong to one of two families.

The first family is the higher-ed platform: texting, coaching and outreach for applicants and enrolled students, sold by demo and tied into your CRM or SIS. The second is the university chatbot on your website, for visitors who compare you with other schools and leave if they cannot find the fall deadline.

A chatbot for a college website answers public admissions questions from the school's own pages, captures prospective student contact details, and hands off to admissions staff when the question is personal. That is the job this guide is about.

Here is how the platforms present themselves, read on their official pages on October 22, 2026. Element451 says its plans "start as low as $20,000 per year", priced by institution size and support tier, with special pricing for community colleges on request; its Bolt agents connect to your SIS, LMS and CRM (Element451 pricing). Mongoose sells texting and web chat for applicants and current students, publishes no prices and asks you to book a demo; it says it works with your CRM and SIS rather than replacing them. Mainstay offers AI success coaching on each student's phone, also without published prices.

Ultimo BotsUltimo Bots is an AI agent for websites that answers visitors from your own content, collects contact details when they want a follow-up, and lets your staff take over the chat when they are online. It does not connect to an SIS. For a college, that makes it an AI agent for the front door, not for the registrar's office.

Which questions should a college chatbot answer?

It should answer every question whose answer is already published on your website, and nothing that depends on one person's file. Prospective students ask the same things every cycle, and most of the answers sit on pages your team already maintains:

  • Programs: what a certificate or degree covers, how long it takes, whether it runs online, evenings or on campus.
  • Admissions requirements: test policies, prerequisites, placement, what an international or transfer applicant needs.
  • Dates: application deadlines, term start dates, orientation, the academic calendar.
  • Cost: published tuition and fees, payment plans, where the financial aid and scholarship pages are.
  • Campus life: tours, directions, parking, housing, office hours and who to contact.

Questions about one applicant or student belong to a person: "Did you get my transcript?", "Why is my aid award lower?", "Was I admitted?". A website agent cannot see those records, so the useful thing it can do is say so and take a name and email for a counselor. Tell it that in a behavior, a rule the agent follows on every conversation. In the AI Studio, click Add behavior, then Enter manually, and paste a rule like this one (up to 250 characters):

Behavior
For questions about one person's application status, grades, financial aid award, transcript or account, do not guess. Say the admissions office handles these and offer to take their name and email so a counselor can follow up.

Many families ask in Spanish or another language. The agent writes each reply in the language of the visitor's latest message and translates the facts from your English pages. The texts you write for the chat window, such as the welcome message, stay in the language you wrote them in, and the fixed line "You are chatting with an AI assistant" shows in the visitor's browser language, Spanish included.

Do you need student records to answer applicants?

No. A chatbot for admissions answers questions about the college, not about one student, so it needs your public pages, not your SIS. FERPA, the federal student privacy law, protects education records: records directly related to a student and maintained by the institution or a party acting for it (U.S. Department of Education). Grades and aid files sit behind a login, and Ultimo Bots does not connect to them, but a chat where an enrolled student discusses their own file may count too.

What a website agent does hold is what visitors type into the chat. By default, the agent asks for a name and email, and only when a visitor wants a follow-up. Add only what counselors need, such as program and start term, never a student ID, a Social Security number or a date of birth, and let the behavior above send account questions to staff. Conversations are not sold to third parties and not used to train Ultimo Bots' own models.

Keep deadlines and tuition current

An outdated deadline does more damage than no answer, so plan how the agent learns about changes before you plan anything else. The agent answers from your content, not from guesses about your college, and it reads that content from the sources you add on the knowledge base:

  • Your website, crawled page by page: program pages, admissions, tuition, the academic calendar.
  • Files in PDF, DOC or DOCX: the course catalog, the viewbook, the international applicant guide.
  • Q&A pairs for short facts you want stated plainly, such as the deadline for the coming term.
  • Google Drive, OneDrive or Notion if your team keeps its admissions FAQ there.

When a page changes, the agent knows only after it reads the page again. You can re-read your site by hand on every plan. Automatic re-reading is opt-in: on Boost it can re-read your site monthly, on Ultimo up to daily (how automatic re-reading works). New pages are picked up during an automatic re-read by default; pages you delete stay in the agent's knowledge unless you switch on "Remove Old Links" or remove them yourself.

Example: answers follow your pages after a re-read.

Uploaded files never refresh on their own. When the new catalog comes out, upload it and delete the old file, or the agent will know both years. At the start of each term, re-read the site, swap the PDFs and check every Q&A pair with a date.

How prospective student leads reach admissions

Every new agent comes with a Lead Generation skill: when a visitor wants someone to follow up, the agent asks for their name and email, reads them back, and tells the visitor their request has been sent to the team. For admissions, ask Mo, the builder in the AI Studio, to add the fields your counselors need, such as program of interest, start term and phone number.

nameMaya Torresemailmaya@example.comprogramNursingstart termFall 2027
Evening Nursing for Fall 2027?Yes, on weekday evenings.
Example lead; the names are made up.

Each lead lands in Leads with the whole conversation, so the counselor who calls back knows the student asked about evening classes and parking, not just that they exist. The new-lead alert goes out at once, in the portal and by email by default, and in Slack or Telegram if you switch those on. You can export the list to Excel, with your custom fields as columns, and import it into the CRM your office uses.

If you want the contact in another system during the same conversation, connect the app and add a skill that uses it. The agent can save the visitor as a contact in HubSpot, or send the collected details to Make, n8n or Zapier. Zapier is send only: a Zap cannot send anything back into the chat, and its webhook trigger needs a paid Zapier plan.

Campus tours and the handoff to a counselor

Campus tours work through a booking link, not a booking in the chat. Connect Calendly and add a skill for your tour event type: when a visitor asks to see the campus, the agent sends a Calendly booking link, the visitor picks a time on Calendly's page, and the confirmation comes from Calendly. More on what the agent can do in your apps on the app actions page.

Some questions need a counselor in real time. While a counselor is online in the portal, visitors see a "Talk to a human" button, and a request for a person, or an accepted offer of one, sends a "Live agent requested" alert (how the handoff works). Whoever joins sees the whole conversation; the agent stays quiet until they leave.

There are no scheduled hours yet, so online status stays on until the counselor switches it off; after that the button is hidden and the agent keeps answering. There is no queue either: whoever clicks Join takes the chat, so agree who covers it in busy weeks. Counselors join at no extra cost, and their own messages use no AI credits (live chat).

How much do chatbots for colleges cost?

A chatbot for higher education costs anything from a monthly self-serve plan to a five-figure yearly contract, depending on whether it reads student records. Element451, the one platform above with a published starting price, begins at $20,000 a year.

Ultimo Bots is priced per agent. Smart is $29 per month, or $19 a month billed yearly, with 500 AI credits, enough for up to 500 standard answers. Boost is $59 ($39 yearly) with 2,000 AI credits and monthly automatic re-reading of your site; Ultimo is $149 ($99 yearly) with 10,000 AI credits and re-reading up to daily. Every plan includes live chat, leads and all channels. If you install from the Wix App Market, billing runs through Wix and the price can differ, so check the listing. See the pricing page.

Plan for application season, because that is when the credits move. You get a usage alert at 80% by default, and you can set it to 50, 90 or 95% instead. There is no overage bill: when the monthly AI credits run out, the agent pauses and tells visitors so, until your monthly AI credits renew, you buy extra AI credits or you move up a plan. Building skills with Mo also uses credits from the same balance; a quick question uses a few credits, building a skill more.

Setting up an AI agent on a college website

Setup is mostly admissions work, not web work. Use your admissions inbox from last cycle as the test sheet.

  1. 1

    Install it on your site

On WordPress use the WordPress plugin, on Wix the Wix app. On Drupal, create a content block with the three-line snippet in a text format that allows scripts and place it in a region that shows on every page, such as the footer. On most other sites, paste the snippet before the closing body tag (website widget).

  2. 2

    Add your admissions content

Add the website, upload the catalog and the academic calendar, and write Q&A pairs for key dates and fees. Turn on automatic re-reading if your plan includes it.

  3. 3

    Set the boundary

Add the behavior for personal questions from above, word for word, with Add behavior and Enter manually.

  4. 4

Shape the lead and the tour

Ask Mo to add program of interest and start term to the lead fields, and connect Calendly for campus tours.

  5. 5

    Write the welcome

Under Deploy > Design, rewrite the starting welcome message and add up to three starter questions of up to 40 characters each, such as "When is the fall deadline?".

  6. 6

    Test with real questions

Under Notifications, choose where lead and live chat alerts reach your team. Then ask the agent ten real questions from your inbox, one of them in Spanish, and one about a specific application, and check every answer against the page it came from.

Questions and answers

Does a college chatbot need FERPA compliance?

FERPA protects education records: records directly related to a student and kept by the college or a party acting for it. An AI agent that answers from public pages and never connects to your SIS does not read grades or aid files, but a chat where an enrolled student discusses their own file may count. Ultimo Bots makes no FERPA claim. Send personal questions to staff and confirm your setup with your compliance office. Practical guidance, not legal advice.

What questions can a college chatbot answer?

Anything your website already answers: programs and how long they take, admissions requirements, application deadlines, term dates, published tuition and fees, financial aid pages, campus tours, directions, housing and office hours. Questions about one person, such as application status, grades or an aid award, belong with a counselor, and the agent should offer to take contact details for a follow-up.

How much does a chatbot for a college website cost?

Higher-ed platforms that connect to student records are sold by quote; Element451 lists plans from $20,000 a year. Ultimo Bots, which answers from public pages, costs $29 per month on Smart ($19 billed yearly) with 500 AI credits, per agent, with a free 7-day trial. Installs from the Wix App Market are billed through Wix. Prices as of October 2026.

Can an AI agent schedule campus tours?

It can hand over the booking. With Calendly connected and a skill for your tour event type, the agent sends a Calendly booking link; the visitor picks an open time on Calendly's page and gets the confirmation from Calendly, not from the agent.

Can the AI agent answer families in Spanish?

Yes. The agent replies in the language of the visitor's latest message and translates the facts from your English pages. The notice that an AI is answering appears in eight languages, Spanish among them, chosen from the visitor's browser. Texts you write yourself, such as the welcome message, stay in the language you wrote them in.

Will AI replace college admissions counselors?

No. The agent takes the repeated questions about deadlines, tuition and programs, and it collects contact details for follow-ups. Judgment calls, personal advice and every question about one applicant's file stay with your counselors, who can also join a live chat while they are online.
